Reviewing results and choosing columns for export

Review results and select columns to customise CSV exports.

The Results stage shows the records that match your conditions. Use it to verify your segment before acting, and to choose which columns appear in reports and exports.

Reviewing the results

  • Results appear as a table of matching records. You can switch between a Table and a Map view using the toggle at the top right.
  • The count (for example "This search found 3,137 records") tells you how many records currently match — check this matches your expectation before acting.
  • Use the checkbox on each row to select specific records to act on.
  • Click the eye icon on a row to open that record's profile and inspect their full details.
  • Sort columns to scan the data and spot anomalies.
  • Pin columns to keep key fields visible while you scroll horizontally.

Choosing columns for reporting and export

Use the column visibility (eye) icon above the table to show or hide columns. This controls exactly which fields appear in your report and, crucially, what is included when you export:

  1. Open the list and go to Results.
  2. Click the column visibility (eye) icon above the table.
  3. Show the columns you want and hide the ones you do not need.
  4. Optionally sort and pin columns to arrange the view.

Available columns include Known as (preferred name) and Gender, so a contact's preferred name and gender can appear in the results table and come through in exports — not just their legal first name.

Exports use the visible columns

When you export, the CSV includes only the columns currently visible in the Results table. Hidden columns are not exported. Always set your column visibility in Results before running an export so the file contains exactly the fields you need.

Step-by-step: tailor a CSV export to specific columns

  1. Open an existing list and go to Results.
  2. Use the column visibility (eye) icon above the table to unhide only the columns you need and hide the rest.
  3. Go to the Actions stage and choose Export results.
  4. The export runs in the background; wait for the bell notification and click it to download the file when it is ready.

Tips

  • Double-check the record count against your expected audience size — a surprising number usually points to a logic issue in your conditions.
  • Reduce columns to only what the recipient of the report needs; a focused CSV is easier to work with.
  • Large exports run in the background, so you can keep working while the file is prepared.
