Publishing to website/portal & cloning events

Publish events to websites or portals and clone them, with options to hide times and copy assets.

Once an event is set up, you can publish it to your website or member portal so contacts can find and register for it, and you can clone past events to speed up creating similar ones. Publishing is done from the Publish tab in the event's Overview; cloning is done from the Events home.

Publishing an event

  1. Open the event's Overview → Publish tab (Publish to SwiftFox Websites).
  2. Choose the Website page where the event should appear.
  3. Choose which RSVP form to link to the published listing. You can maintain separate public and portal forms with different tickets or fields, and link the appropriate one here.
  4. Click Add. The published listing appears in the table below, showing the Website, Website page, RSVP form, a Unique URL, and Hide event times.
  5. Set a cover image for the listing using the option below the table.

Hiding the event times on a published page

Some events are published before the schedule is settled, or run to a programme you would rather not put on a public page. Hide event times suppresses the event's start and end date and time from the published listing, leaving the rest of the event details intact.

It is set per published page, in the Hide event times column of the table — so the same event can show its times on one page and hide them on another. That is useful when a members-only portal listing carries the full schedule while the public page does not.

Hiding the times only affects what is published. The start and end dates on the event itself are unchanged, and everything that relies on them — reminders, merge fields, reporting — continues to work as normal.

Because you choose which RSVP form is linked, you can publish a public-facing form on your website and a different portal form for members, each with its own tickets and fields.

Cloning an event

Cloning copies an existing event's intro details and any chosen assets, which is useful for repeat events:

  1. On the Events home, click the ⋯ (more actions) menu on the event you want to clone.
  2. Choose Clone.
  3. Select what to carry across:
    • Clone with Emails — copies the event's emails.
    • Clone with RSVP Page — copies the RSVP form.
    • Clone with Attendees — copies the invite list/attendees.
  4. Name the clone and create it.
