Your Website: The Basics

Before we jump into the back end, let's take a quick look at the front end of your website, what your visitors actually see. This is one of our website themes. We'll use it as a reference throughout today's session so that when we make changes in the back end, you can see exactly where those changes appear on the live site.

It includes a range of pre-configured pages covering the key functions most websites require, including core landing pages that explain your organisation and its work, contact, sign up and donation forms, as well as news and events pages and member directories. If any of these pages were not used in your website build, they will still remain unpublished in your back end in case you need them in the future.

Understanding the layout of your website from the front end first will make everything in the back end feel much more intuitive.

Now let's jump into the back end. This is where all your website management happens. On the left hand side, you'll see your website name at the top of the content tree. In this case, it's called Community Theme, but yours will display your own website name. This area is where the foundational building blocks of your website is set up.

The top level item is where you can find your home page content, as well as global properties for items like your navigation bar and footer. Below the website name, you'll see all your individual pages listed out. Some pages also have sub pages. Each page has its own icon. The standard profile icon represents a regular content page. This is the most common type you'll work with.

You might also see a calendar icon which indicates an events page. There's also some website setting items which are a bit unique. We'll leave that for now. This content tree is how you navigate to different pages on your website. Simply click on any page to open its content and start making changes. Let's select the about page as a good example of what a standard content page looks like.

Under each page, you'll see a number of tabs along the top. For most of your day to day work, you'll only need the content tab. This is where you can see and edit the actual content in the page. Within the content tab, you'll find what's called the grid. The grid is where all the building blocks for your page live.

You'll see a mix of elements here, some headings, some rich texts, some layout blocks. Not everything you see in the back end will be visible on the front end of the website, but this is where all the content is managed. We'll make a small change here to this heading and select Save and Preview to switch over to the front end and see how the content has updated and everything in the grid maps to what appears on the site.

Now let's talk about the content blocks themselves. These are the building blocks that make up each page. For most of the changes you'll be making, it's usually something straightforward updating a picture, changing a heading, or editing the rich text content on a page. Well, that's all done right here in the grid. One thing to be aware of is that most blocks sit inside containers.

Containers wrap around the content, control the width and padding of sections on your page, ensuring that regardless of whether someone is viewing on a mobile phone, a small screen, or a large monitor, the content stays well formatted and doesn't stretch too wide. It aligns the way that you want it to. You can see how the text on the front end sits within a controlled width, and changes alignment as the screen size reduces.

That's the container doing its job. It keeps everything looking clean and professional across all screen sizes. If you're just updating existing content so changing tags, swapping an image, adjusting a heading, then that's all you need to know. You simply click into the block, make your changes, and save.

Where things get a little more advanced is when you need to add new blocks to a page, rather than building everything from scratch, Umbraco makes it really easy to copy and reuse existing blocks. Here's how it works. If you see a section on your page that's well structured and you'd like to replicate it. Select the highest level block, typically the container that wraps all the content within that section.

Then select the copy button. Next, scroll down to where you'd like to place the new block and select the plus button to add content. In the top right corner, you'll see a clipboard option. Select that and you can paste in the block you just copied. Everything comes across perfectly the structure, the formatting, the content. From there, you simply edit the text and images to suit your needs.

And if there are any parts you don't need, you can select the block and delete it and then resize the rest of the content if needed. This is a huge time saver whenever you need to create new sections or expand a page. The same principle applies to entire pages as well. If you find a page that's well structured and you'd like to use it as a starting point, right click on it in the content tree or select the three dots.

Select copy and then select where in your site you want to copy it to. When you create a new page, you'll be able to use that copied page as a template, giving you a head start rather than building everything from scratch.
Publishing Safely

Once you've made your changes, you need to save and publish them. In the bottom right hand corner of the editor. You'll see three options. The first is Save and Preview. This lets you see a preview of what your page will look like when the changes are made, without publishing anything live. It's essentially a temporary preview, perfect for checking your work before it goes public.

The second is save. Use this when you've made changes, but you're not ready to publish them yet. Your edits will be saved in the back end, so you can come back later and continue where you left off, but nothing will change on the live website. The third is Save and Publish. This is the one that actually pushes your changes live.

Once you click it, the content will update on your website within a few seconds. After you see the green tick confirming it's published. Give your website a quick refresh and the changes will be there.

You'll also notice a couple of additional options. Schedule publish lets you set a future date and time for your changes to go live automatically. And unpublished allows you to remove a page from the live website entirely.

Important to note unpublished doesn't roll back your changes, it simply takes the page offline. If someone tries to visit that page after it's been unpublished, they'll see a 404 error indicating that the page can't be found.

Now, what happens if you accidentally publish a change that breaks something or doesn't look right? The good news is you can always reverse it. In the top right hand corner of the editor. You'll see an info tab. Select that and you'll find three key pieces of information. First, there are the links associated with the page. This shows you the URL of the page you're currently editing.

Below that is the references for this page. It will show a list of all pages that directly link to this page. Then at the bottom you'll see the history section, which shows a log of every change that's been made to the page. Every save, every publish and who made it. At the top of the history section, you'll see a rollback button.

If you've published something that shouldn't have gone live, or if a change has caused an issue on the website, you can select rollback and select a previous version of the page to restore. This is really a safety net. You'll only need an emergency situations.

Now let's look at how to create and publish news items on your website. This is a great way to keep your site fresh and share updates, announcements, or articles with your audience. News items are managed through a dedicated news page in your content tree. You will see your news page listed alongside your other pages. It acts as a container for all of your individual news items, which sit inside it as child pages.

To create a new news item, you can either create a blank item from the create button. You can copy one of the existing pages as a template to keep the same look. To copy a page, select one of the existing items and then select copy. Select the news page you want this to be copied to and submit.

You will see that it is grade out. This indicates that it has not yet been published so it isn't live on your site. Select the name to open it and then give your news item a new name. This will be the headline that appears on your website. The content editor here works much the same way as any other page, with one key difference.

There are two sections where you can add content. There is the standard content grid where you can build out your page using blocks, or if you want to keep things simple, you can just add rich text into the main content. It is important to note that while you can use both the grid and the main content, the grid will always display at the top of the page.

Make sure to add a thumbnail image for the news item. This is what will appear when the item is displayed in a news feed or listing on your website. A good thumbnail makes a big difference in how professional and engaging your new section looks. You can also assign tags to news items. Tags are useful for categorising your content.

For example, you might tag items as industry news, member updates or events. These tags become especially useful when filtering news, as we'll see in a moment. Once you're happy with your content, select Save and Publish and the news item will be live on your site. Now to display your news items on other pages of your website, we use the News feed block.

This is a content block you can add to any page in your site, and it displays your news items in a carousel format. On the front end, the news feed shows your news items as cards that visitors can scroll through using navigation arrows. Each card displays the items, thumbnail, headline, and a preview of the content, with a smooth fade out effect at the edges of the carousel.

To configure the News feed block, add it to your pages grid and open its settings. The key setting is selecting your news page. This tells the block where to pull news from. From there, you can set the maximum number of items to display. Toggle whether to show or hide thumbnails and set the fade out gradient colour, which you'll want to match to your pages background for a seamless look.

You can also choose whether to show or hide the Read more link on each item. The news feed block also includes powerful filtering and sorting options. You can filter by tags or keywords. Set a date, range or even filter by rating, and you can sort your news items by newest first, oldest first, or by highest or lowest ratings. This means you can place multiple news feed blocks on different pages, each filter to show different types of content.

One of the best things about SwiftFox websites is the tight integration between your website and SwiftFox itself. Let's look at the integration blocks built to make this seamless. When you select the plus button to add a new block in the grid, you'll see the standard options for layout and alignment. But scroll down to the content section and you'll notice some blocks that are specific to Swift Fox.

The first and most important one is the SwiftFox form block. This is how you publish forms to your website, whether it's a survey, a donation form, a join form, or any other type of form you've built in SwiftFox. Here's how it works in SwiftFox. When you're setting up your form, go to the second step and select Add to website.

You'll be given a form ID it's specifically labeled for the website backend. Copy that form ID then come back to your website backend. Add the SwiftFox form block to your page and paste the ID in. That's it. The form will use all of the formatting and design you've built in SwiftFox, and display it seamlessly on your website.

Once you save and publish the page, the form will be live and ready for visitors to fill out. This is much cleaner than using an embedded iframe, which can cause issues with sizing and formatting. The form ID approach ensures everything sits perfectly within your website's design.

The other major SwiftFox integration is for events. You may have noticed that in the events page in the content tree has a different icon a purple calendar. This is a special page type designed specifically for publishing events from SwiftFox to your website. If you ever need to create one of these pages from scratch, right click on your website name.

In the content tree, select create and you'll see the available page types. The standard page uses the profile icon. The Member Portal event list page with the calendar icon is the one specifically built for events. The great thing about this page type is that you don't need to add any special blocks to it. SwiftFox handles the event display automatically to publish an event to your website, you do it from within SwiftFox itself, not from the back end.

Open the event you want to publish and go to the overview step. You'll see a publish tab here. Select it and you'll be able to choose where you want the event to appear. If you have a website, select it and then choose which page the event should be published on. Now that we've sorted login requirements, let's set up who can access what. Access groups are your friend here, they help you control who sees what in your portal. To create an access group. Start by going back to SwiftFox settings and finding the Login Portal section. From there, select Add Login Group. Create a name that clearly describes the group's purpose and specify the criteria that determines which members belong in this group.
