Today let's look at the all important home page. The first place you look at when you log in to SwiftFox and the destination to place key information you would like to see regularly.

In this tutorial, we will show you the key parts of the home page, including your default home page and how to create your own home page.

When you log in to SwiftFox, you will always be taken straight to the home page. During your initial SwiftFox set up, our team will create for you a default home page which will be tailored to your type of organisation.

Typically, your home page will come with the SwiftFox Activity Feed, My Tasks, important data metrics and your organisation's calendar.

You can easily adjust the look and feel of your home page once you're up and running. You can delete your widgets by clicking on the three dot menu and selecting Remove Widget.

To add content to your space, click Add New Widget and select from the available options. You can resize your new widgets by clicking and dragging the bottom right corner.

Today we're diving into the people and organisations feature in Swift Fox. Now let's talk about why this feature matters. We're going to make a bold and obvious statement. Your contacts are at the heart of your organisation.

Whether your contacts are stakeholders, members, clients, or a particularly elaborate extended family. Keeping track of details is crucial. You want to remember things like their name, their email, memorable conversations -that you had that you really should remember - events you've seen them at, and if they pay you, and how much.

In this tutorial, we're going to show you how to create a new contact profile, see custom fields, store interactions, and set permissions. So let's start by creating a new contact. I would like to add Jessica Bridge to my SwiftFox contacts.

I met Jessica yesterday and I do not want to forget to add her and her esteemed law firm, Bridge Lawyers, to my SwiftFox environment. Now let's add this very real person, Jessica, to my SwiftFox tenant.

So I'm logged into SwiftFox and I'm on my home page here. When we click on the plus sign on our top navigation bar, we can see our options for contact creation. You can create a person or you can create an organisation.

This process is different if you are importing a big list of data with contact information. In this case, we want to create a new person in SwiftFox.

So okay, great. I've selected yes, filled out the details. And now Jessica exists. Great. Jessica Bridges is now a contact in SwiftFox. Let's just give a quick overview of what you can do on a person's profile.

Contacts and roles is where you can record all the contact details, including addresses you have for contact. And this is also where you can see the various roles a contact has to add your contact to a new role.

Simply click Add Role. Select the organization and record their role title. If a contact has more than one role, this little crown indicates which one of the roles you consider to be the main or primary role.

And the details of this role will appear in the business card. You can also change the view of your roles so they appear in a table format rather than a business card if you prefer. We're all about flexibility.

Up top, we have a quick snapshot of the key details of your contacts in business card form. Custom fields live on the main profile page and containing the important information about your contacts you need to store.

SwiftFox comes with existing custom fields, but it's easy to create your own. Simply click Edit, add a field, select the type of custom field you want.

In this case, let's choose a multi-select. Add the details. And click create. Custom fields enable you to track information about your contacts that is unique to your organisation.

All of this information is searchable and enables you to build reports, as well as targeted lists for other Swift Fox features such as emails, events, texts, and calls. Speaking of communication, contact profiles are not just a place to store information.

Navigate to Lists in the feature menu. When you arrive at the Lists landing page, you'll find a comprehensive table showing your saved lists.

Then we can add another criteria saying where, RSVP status, include, attended. After completing your first rule, you can add additional rules to create more sophisticated searches.

Our last event had some guests from the Association for Lawyers who also attended, but they aren't all members and I'm keen to hear their thoughts too. Under the first rule, they would be excluded. Now set the rules to work as “or” so that either of these are true they will be included.

These can go very complex if you want them to. You can search by almost anything in the system, including custom fields, posts and tags, stakeholder leader, organiser, connections. forms, survey and petitions, subscriptions and payments and events.

Welcome! Today we're on a mission to explain two powerful list types in SwiftFox. On one side, Fixed Lists and on the other side Live Lists. Now, they might seem similar, but they have different properties and uses. In fact, they have entirely different personalities. So let's find out what they truly are.

A live list automatically updates based on your search criteria. Think of it as a dynamic view of your data that stays current without any manual updates. Perfect for tracking ongoing changes in your data, creating real time reports, and building dynamic dashboards. A fixed list captures a snapshot of your data at a specific moment. Once created, it won't change unless you manually update it. Ideal for event planning, marketing campaigns, and year end reporting.

You already know how to create beautiful professional emails in SwiftFox, but how do you turn them into scalable templates for rapid building? Well, in this lesson, we'll show you how to transform your email designs into reusable templates that are easy to duplicate, rearrange, and customise, saving you time while keeping your communications consistent. Let's dive in.

Here we have a standard email layout we use for newsletters. There's a logo, a header image, the main content in a single rich text block, social buttons in a social block, a sign off at the bottom, and an unsubscribe button. This works, but when you need to reuse it or build a larger email, copying, pasting, or moving sections can become difficult. The best way to make templates more scalable and efficient is to split content into individual blocks, then group those blocks inside single column containers.

This makes it easy to duplicate, drag, and rearrange sections as needed. So let's do that. First, set the background in the design panel under style. Set the body background to a soft colour to separate it from the email background. Next, drag in a column and set it to single column layout. This will be our main body container. We'll increase the corner radius to match our brand softer aesthetic and increase the padding slightly. Now drag the image and the rich text into this container. Duplicate the rich text to start breaking each section of copy into its own block. We'll delete everything under the heading here so it's in its own block. Duplicate it again to separate the paragraph from the sign off. You should now have a distinct block for each piece of content. Next, add another single column container. This approach lets you create blocks of content you use regularly. You can remove an entire section in one step, or clone a heading and paragraph section as a pair. Every team needs a task. Let's learn how to create teams and create tasks for teams in SwiftFox. They go together.

First, let's define what we mean by team. A SwiftFox team is a group of users who share the same permissions and are usually within the same department of your organisation, such as your marketing team or your finance team. The benefit of teams in SwiftFox is you can also assign tasks to teams. Quick note: Only the special admin users can create teams.

So if you would like to create a team of users and you are not an admin, you'll have to speak really nicely to your admin team to create one for you. Admin users. First go to settings select user groups. Here you can see a number of groups that are also teams, each with a different number of members. Today we will create a new user group.

So select add a user group. We're going to call this user group Comms team. Now in this new user group I will select this group is a team. A quick clarification. User group and team can sometimes be confusing. Here's the difference. A user group consists of users grouped together with the same set of permissions. A team is an upgraded user group with the extra ability to assign tasks to users. Every team is a user group, but not every user group is a team. Let's get back into it.
