SwiftFox Tasks lets you create, assign, track, and report on tasks across your account. It gives every team member a single place to capture what needs doing, decide who is responsible, set a due date, and follow progress through to completion.
Tasks live in the left-hand navigation under Tasks. Opening it shows a task summary with built-in views, an All Tasks / My Tasks toggle, filters, and an export option, plus a Create a task button.
What you can do with Tasks
- Create standalone tasks directly from the Tasks screen.
- Assign a task to an individual user or to a team (a User Group set as a team).
- Tag Contacts (People or Organisations) in a task's Task name so the task appears on their profile and, if they are users, they are notified.
- Set a due date and time for each task.
- Control who can see or edit a task using Sharing permissions (Full Access, View and Edit, or View only).
- Track tasks through built-in views — Today, Upcoming, Overdue, All, and Completed.
- Filter, sort, and export the tasks table for reporting.
- Create tasks contextually from Events, Posts (Activity Feed), and Projects, with a link back to the source.
- See your own tasks on the Home page widget, and a person's tasks on their profile Tasks tab.
Where Tasks appear
A single task can surface in several places at once:
- In the Tasks table, under the relevant view.
- On the Home page in the My Tasks widget (if assigned to you).
- On each tagged or assigned Contact's profile, under the Tasks tab.
- Within the originating Event, Post, or Project if it was created contextually.
Key concepts
- Assignee — the user or team responsible for completing the task. Only users and teams can be assignees.
- Mention — a Contact (Person or Organisation) tagged in a task's Task name. Mentioned contacts do not need to be users.
- Linked to — a task created from another object (an Event, Post, or Project) keeps a link back to its source.
- Visibility — the access rules applied to a task through Sharing permissions; a visibility icon signals when custom permissions are in place.
