Task sharing permissions

Manage task sharing permissions to control access, visibility and collaboration in SwiftFox.

Sharing permissions control who can see and work with a task. They use SwiftFox's standard permissions menu, so you can grant access to individual users or to User Groups, and restrict a task's visibility to specific groups.

Permission levels

When sharing a task you can grant any of the standard access levels:

  • Full Access — can view, edit, and manage the task, including its sharing settings.
  • View and Edit — can view and make changes to the task, but not manage who else has access.
  • View only — can see the task but cannot change it.

Set permissions on a task

  1. In the Create a task form (or while editing a task), click Sharing permissions to open the Edit permissions panel.
  2. (Optional) Choose a Preset as a quick starting point — Everyone (visible account-wide) or Only me (visible to just you).
  3. Under Add access for, choose User or User group (or Add me to add yourself), find the user or group, set an Access level, and click Add.
  4. The available levels are Full Access, View and Edit, and View only.
  5. Use this to restrict visibility to specific groups if the task should not be seen account-wide.
  6. Click Apply to confirm the permissions, then Create the task.

Visibility indicator

  • When a task has custom Sharing permissions, a Visibility icon appears on its row in the tasks table.
  • This signals that the task is not visible to everyone and that custom access rules apply.
  • Tasks without custom permissions follow the default visibility for the account.

When to restrict a task

  • To keep a sensitive task between a small group of users.
  • To ensure only a particular team can edit a task while others view it.
  • To hide a task from users who do not need to see it — apply Sharing permissions and limit access to the relevant users or groups.
