Common questions about configuring SwiftFox in Settings.

Where do I turn features on or off for users?

Use Settings → Users & access → User groups. Create or edit a group and toggle the relevant permissions (for example Emails, Events, Edit Finance, Lists, Pipelines, Posts edit levels, Text messages, Automations). Add the user to that group. Users can belong to multiple groups, and their permissions combine.

I can't see Audit logs — why?

You need the Audit Logs permission. Ask your system administrator to grant access via your user group. If permitted, you can also open a per-contact audit via Quick Actions → Audit Log on a profile.

How do I restrict post visibility to a team by default?

In User groups, mark the group as a Team and enable the option to restrict posts to that team by default. Members' posts will then default to that team's visibility.

Can a user be in more than one group?

Yes. A user can belong to multiple groups and receives the combined (union) set of permissions from all of them. Build small, focused groups and combine them as needed.

How do I add a new user or change someone's access?

Go to Settings → Users & access → Users to view users and adjust their group membership. Group membership is what determines each user's permissions.

Where do invoice details (logo, address, ABN) come from?

From Company details (Settings → Organisation → Company details). Update them there and they flow onto invoices and receipts automatically.

How do I change the invoice heading and footer?

In Settings → Finance & usage → Invoice settings, set the document title on the Document identity tab and design the footer on the Footer design tab. Insert merge fields (for example BPAY reference, member number) with @, click Save, then Preview.

How do I add a new text message number or sender ID?

Go to Settings → Communications → Text messages to view the current setup, then contact SwiftFox Support to provision new numbers or custom sender names.

How do I delete a contact category type?

Go to Data & records → Tags & categories, open the Person category or Organisation category tab, and use the delete (trash) icon beside the category. You can create category types and set their colours on the same tab.

Where are email settings (sending domains, categories, tags, unsubscribe)?

Under Settings → Communications: Email settings (sending domains and DNS), Campaign categories, Email signatures, and the Email preferences page that contacts use to manage subscriptions and opt out. Full detail is in the Emails guides.

Where are the Login Portal settings?

The Login Portal page is under Settings → Features. Its configuration — login access, portal access permissions, portal profile fields, subscription management and portal events — is covered in the Login portal guides.

Why can't I see a particular Settings page?

Access to Settings requires the Admin permission, and individual pages require their specific Manage… permissions (for example Manage Custom Fields, Manage Tags, Manage Event Settings). Ask your system administrator to grant the relevant permission.

Why do I see fewer options in SwiftFox on my phone?

SwiftFox is deliberately designed with a streamlined mobile experience, focused on what people most often need when they are away from their desk. On a mobile device you can search and view profiles, add contacts, make calls, and record and store interactions.

Given how much SwiftFox does, most other features are built for use on a desktop or laptop. Mobile coverage is expected to grow over time, but the current focus is on making those core activities as simple and effective as possible on a small screen.
