Reusing generated documents in Emails (attachments)

Reuse generated documents by downloading them and attaching to emails in SwiftFox.

Once you've generated a document, you can reuse it by attaching it to an email in SwiftFox. This is handy for sending statements, letters or personalised documents straight to your contacts.

Get the document first

Depending on how you generated it:

  • Individual document: download the Word file from the link in the post that SwiftFox added to the contact's profile.
  • Bulk documents: download the PDF from the success banner shown after the Bulk generate documents action completes in List Builder.

Save the downloaded file somewhere you can find it.

Attach it to an email

  1. Create or open the email you want to send in Emails.
  2. Use the attachments function to add the file.
  3. Select the document you downloaded and add it to the email.
  4. Finish composing and send the email as usual.

Where attachments live in the email builder

When designing an email you can add files in two ways:

  • The Attachments tab on the email canvas, to add downloadable files to the email.
  • An Attachment content block dropped onto the canvas, which adds an in-body download button for the file.

Either approach lets you include a generated document with your email.

Tips

  • For one-off, personalised documents, generate the individual document from the contact's profile, download it, then attach it to that contact's email.
  • Keep file names clear so the right document gets attached.
