Profile fields (showing & ordering built-in fields)

Configure which built‑in profile fields appear and their order for People and Organisations profiles.

Profile fields let you choose which built-in fields appear on People and Organisation profiles, and the order they display in. It sits under Settings → Data & records → Profile fields. (For fields you create yourself, see Custom fields — Profile fields only controls the standard, built-in fields.)

The grid on this page mirrors how a profile looks, so the arrangement you set here is what your team sees on profiles.

Permissions required

Profile fields is part of the Settings area and requires the appropriate admin permission. If you can't see it, ask your system administrator.

Choose which fields show

  1. Go to Settings → Data & records → Profile fields.
  2. Select the People or Organisations tab — each record type has its own arrangement.
  3. Fields are split into two groups:
    • Show on profile — fields currently visible on the profile.
    • Hidden fields — fields available but not shown.
  4. Use the eye icon on a field to hide it (moving it to Hidden fields) or show it again.
  5. Some core fields are locked (shown with a padlock) and always appear — for example First name and Last name on People, and Name on Organisations. These can't be hidden.

Reorder fields

Drag a field by its handle (the grip on the left of the field) to move it up or down. The order in the Show on profile grid is the order fields appear on the profile.

Publish your changes

Changes don't take effect until you publish them.

  1. Make your visibility and order changes.
  2. Click Publish profile field settings.

Until you publish, profiles use the default field set — the page notes it is “Using tenant manifest fields until profile settings are published.”

If you navigate away before publishing, SwiftFox asks “You have unpublished profile field changes. Are you sure you want to leave this page?” Choose Cancel to stay and publish, or Continue to discard the changes.

Which fields can be shown or hidden

People — Title, First name, Middle names, Last name, Suffix, Known as, Date of birth, Gender, Occupation, Category type, Stakeholder leader, Language, Place of birth, School attended, University attended. First name and Last name are locked.

Organisations — Name, Known As, Category type, ABN, Jurisdictions, Industry, Stakeholder leader, Employee count, Turnover. Name is locked.

Your account may show a different set depending on the features enabled for it.

Notes

  • People and Organisations are configured separately — set each tab to suit that record type.
  • Profile fields controls built-in fields only. Custom fields (and the sections they sit in) are managed under Custom fields.
  • Locked fields guarantee the essentials (names) always display, so profiles remain identifiable.

Where do I manage profile fields?

What's the difference between Profile fields and Custom fields?

Profile fields controls the display and order of SwiftFox's built-in fields. Custom fields are the additional fields you create yourself.

Why can't I hide a field?

Locked fields (for example First name, Last name, and organisation Name) are mandatory and always shown.

Do my changes apply immediately?

No — click Publish profile field settings to apply them. Until then, the default field set is used.
