Limitations & things to know
- Visibility is permission-based. What you see in the feed reflects what you have access to. Posts can be restricted via Edit permissions — Everyone, Current Circle, Only me, or named users, user groups, or circles — and editing or deleting a Post requires the appropriate permissions.
- Shared feeds affect everyone. The Activity Feed lives on a homepage. Changes on a shared (non-private) homepage page apply to all users in your account, so be mindful that what you do there is visible to the whole team.
- Bulk email noise. Large sends generate many system/bulk entries. Use Hide bulk posts to keep the feed readable.
- System posts are a record, not a draft. System posts are generated automatically by other modules; treat them as an activity record rather than content to routinely edit. Hide them with Hide system posts rather than deleting if they clutter your view.
- Deletion is permanent removal. Deleting a Post removes it from the feed and from any tagged Contact's profile. Delete with care.
- Untagged Posts are harder to find. Posts without tags can still be read in the feed but are much harder to segment in List Builder or surface in the Posts Action Centre.
Best practice
- Tag as you post. Apply a consistent tag (via Add New Tag) at the time of posting so the Post is filterable and segmentable later. Retro-tagging is slower and easy to forget.
- Agree a tag vocabulary. Define a small, consistent set of tags in settings so the same topic isn't spread across several near-duplicate tags — segmentation is only as good as the tagging behind it.
- Use @mentions deliberately. @mention Users to notify colleagues and build a profile history; @mention People and Organisations to keep a running record on those Contacts.
- Set the right audience. Use Custom permissions for sensitive Posts so only the relevant users or groups can see them.
- Back-date when logging history. Adjust the date/time when recording something that happened earlier so the feed stays an accurate timeline.
- Keep your view clean. Switch the View type (in the feed's Settings panel) to Hide system posts or Hide bulk posts when the feed gets noisy — note only one view type applies at a time — then back to All posts for the full picture.
- Turn Posts into action. When a Post needs follow-up, create a Task from it rather than letting it scroll away in the feed.
