Form templates

Create and reuse form templates for consistent styling and efficient data collection.

Form templates let you save a form as a reusable starting point, then base new forms on it. Use them for the questions your organisation asks every time — first name, last name and email for contact matching, plus your standard custom fields — and for a consistent look, so you are not rebuilding the same Add/Update contact block and restyling every new form.

There are two separate kinds of template, and they are not interchangeable:

  • Standard Template — made from a standard form, offered when you create a new form from the Forms landing page.
  • Event RSVP Template — made from an event RSVP form, offered when you create an RSVP page inside an event.

A form's kind is shown in the Type column on the Forms landing page, alongside Standard and Event RSVP.

What a template is, and what it copies

A template is an ordinary form that carries a template type. Nothing about it is special beyond that type, which is what makes it appear in the template list when you create a new form.

When you create a form from a template, SwiftFox clones the whole template into a new form under the name you enter. Everything in the template comes across — every page, block, question, block setting and style.

The new form is independent from that point on. Editing a template later does not change forms that were already created from it, and editing a form created from a template does not change the template.

Saving a form as a template

  1. Open the Forms landing page from the left-hand menu.
  2. Find the form you want to reuse and click the three-dot menu at the end of its row.
  3. Choose Set as template.
  4. In the Save form as template dialog, enter a Form name for the template.
  5. Click Save.

A Template created successfully message confirms the save.

Saving a template creates a new form — it does not convert the one you started from. The original stays in the list exactly as it was, and the new template appears as its own row with the name you gave it and a Type of Standard Template or Event RSVP Template, depending on the form you saved.

Because the template is an ordinary form, you can open and edit it later like any other.

Creating a standard form from a template

  1. On the Forms landing page, select Create form.
  2. In the Create new form panel, enter a Form name.
  3. Open Start from a template (optional) and choose a template from the Choose a template list. Where your account uses circles the list is grouped by Current Circle and Other Circles; you can type in the field to search it.
  4. Select Create form.

The list offers your saved Standard Template forms only. Event RSVP forms and Event RSVP Template forms are not offered here — to start an RSVP page from a template, use the RSVP Page step inside the event, as below.

The new form opens on Step 1 – Design with the template's content already in place, ready to edit on the canvas. Leave the template field empty to start from a blank form.

If no templates have been saved yet, the dropdown shows No options.

Creating an RSVP page from a template

RSVP templates are only offered inside an event.

  1. Open the event and go to step 3 RSVP Page.
  2. Click Create RSVP Page.
  3. In the Create RSVP page dialog, enter a Form name.
  4. Open Start from a template (optional) and choose a template. Only Event RSVP Template forms appear here — standard templates are not offered.
  5. Click Create RSVP page.

Creating an RSVP template

The Create New Form button on the Forms landing page only creates standard forms, so an RSVP form has to be built inside an event first. Once it exists, save it as a template the same way as any other form — from the three-dot menu on its row on the Forms landing page, or from the event's RSVP Page step.

Ideas for using templates

  • A house standard form. Your usual Add/Update contact block with first name, last name and email — the fields SwiftFox uses for contact matching — plus organisation and the custom fields you always collect, already styled with your colours, fonts and logo.
  • Two RSVP templates. One for the public RSVP page on your website and one for the members-only version in the login portal, which usually differ in what they ask and how much they explain.
