SwiftFox can award accreditation hours or points automatically when a contact reaches a chosen RSVP or attendance status on an Event. This removes manual entry for events that count toward CPD or an accreditation — the activity line is created for you.
Enabling points on an Event
- Create or edit the Event and go to Step 1 — Details.
- Scroll to the Goals and Points section (below Settings). This section is labelled "Goals and Points" in the product even where the feature is named Accreditation.
- Under Points, turn on Enable points for this event.
- Enter Points accrued for this event — the number of hours or points the event is worth.
- Select the Point category the value should be allocated to (from your configured categories).
- Set the Status required to accrue points — one or more RSVP statuses that trigger the award (for example Attended or Attending). You can select multiple.
- Save the Event as normal.
What happens when a contact qualifies
When a contact reaches a Status required to accrue points you set, SwiftFox automatically creates an activity line on that contact's Accreditation tab, populated as follows:
- Source = Event.
- Dates populated automatically — Date recorded, Date occurred and Date confirmed.
- Notes = the Event name.
- Hours or points and Point category as configured on the Event.
The new activity contributes to any of the contact's accreditations whose date range covers it, exactly like a manually entered activity.
Choosing the right status
- Use Attended when the award should only go to people who actually showed up (recommended for most CPD use cases).
- Use Attending when registering is enough to earn the value — be aware it will be awarded before the event takes place, and you may need to reconcile no-shows.
Other automatic sources
Events are the most common automatic source, but your account can define other Activity sources (such as Call or Form). Where configured, activities from those sources may also appear on the Accreditation tab. Check with your account manager about which sources are set up for your account.
Tips
- Confirm the Point category on the Event matches the category structure of the accreditations you expect to credit, or the value may sit in an unexpected category.
- Because the activity's Notes carries the Event name, event-awarded activities are easy to identify in the Activities table, in exports and in the Action Centre.
- If a contact has no accreditation covering the event's date, the activity is still recorded; add or adjust the accreditation's date range to capture it (see Activities, hours & points capture — backdating).
