Accreditation is a flexible SwiftFox module for setting professional-development requirements, recording the activities that earn hours and points, and tracking each contact's progress across both the CRM and the member portal. It is most commonly used for Continual Professional Development (CPD) programs, but it is general enough to support any accreditation or goal-setting system.
A note on naming: this feature's label is configured per account and may appear as Accreditation, Goals or CPD. This guide uses Accreditation — substitute whatever label your account uses. You will still see the word "Goals" in a few places in the product (for example the Accreditation Action Centre and the List Builder criteria), where the configurable label has not yet been applied.
Administrators define accreditation frameworks — names, categories, hour/point rules and intervals — and records then accrue hours and points through activities. Activities reach a record three ways: awarded automatically from Events (and, where configured, other sources such as Calls or Forms), entered manually by an administrator, or self-submitted by members through the portal. Accreditations can be tracked against both people and organisations.
What you can do with Accreditation
- Track each contact's (or organisation's) progress on a dedicated profile tab, with a snapshot plus detailed tables.
- Record activities manually, backdate them, and attach supporting documents.
- Award hours and points automatically when contacts reach a chosen RSVP status on an Event.
- Monitor and export progress across your whole account from the Accreditation Action Centre.
- Segment and report on accreditation data with List Builder, then email or export the results.
- Let members view and self-manage their own activities through the portal, subject to admin-controlled permissions and approval.
- Manage the list of Activity source labels used to categorise activities (Settings → System management → Accreditation).
Where Accreditation sits in SwiftFox
- Contact / organisation profile: a dedicated tab (labelled Accreditation, Goals or CPD, depending on your account) shows a progress snapshot plus detailed Accreditations and Activities tables.
- Action Centre: the Accreditation Action Centre (shown in the Action Centre menu as Goals) provides a whole-of-account view, filtering and export.
- List Builder: accreditation criteria are available for segmentation and reporting (grouped under Goals in the criteria list).
- Events: hours and points can be awarded automatically based on a contact's RSVP or attendance status.
- Settings → System management → Accreditation: administrators manage the Activity source labels (separately for people and organisations).
- Member portal (front end): members can view their progress and, where permitted, add, edit, delete and export their own activities. Portal behaviour is controlled in Umbraco.
Key terms
- Accreditation framework: the definition of an accreditation — its name, categories, hour/point requirements and interval.
- Accreditation: an instance of a framework added to a specific contact or organisation, with its own status, dates and progress.
- Category: a sub-grouping of hours or points within an accreditation, each able to carry its own minimum and maximum rule.
- Activity: a single record that earns hours or points toward an accreditation (from an Event or other source, an administrator, or a member submission).
- Activity source: the label classifying where an activity came from (for example Call, Event, Form, Other). Managed in Settings → System management → Accreditation.
- Interval: the period an accreditation runs over before it renews.
Before you begin
Accreditation frameworks — names, categories, hour/point rules and intervals — are configured by your SwiftFox account manager or support team; framework setup is not self-service. Administrators can manage the Activity source labels themselves. Once frameworks are configured, day-to-day management — adding accreditations, recording activities, approving submissions, reporting and exporting — is done by your team in the CRM and portal.
