Accreditation — Frequently asked questions

Can we rename the Accreditation tab on the profile?

Yes. Support can configure the label — Accreditation, Goals or CPD. The portal page follows the same label.

Who sets up accreditations, categories and intervals?

Your account manager or support team configure these from a template you complete. Framework setup is not self-service. Administrators can, however, manage Activity source labels themselves in Settings → System management → Accreditation.

What rules are supported?

Minimum and maximum per category, plus an overarching total per accreditation. Categories can be measured in hours or points. The snapshot and the Achieved? indicator reflect these rules.

How do I add an accreditation to a record?

On the Accreditation tab, click Add Accreditation, choose the Accreditation, set Status, Start date, End date, Auto Renew and Notes, then click Save and Close.

How do activities get into the system?

Three ways: administrators add them manually; Events auto-create them (and other configured sources such as Calls or Forms may too) when a contact reaches the required status; and members submit them via the portal (subject to permissions and approval).

Can I backdate a new accreditation to existing activities?

Yes. When you add one, SwiftFox searches historical activities within its date range and allocates eligible hours and points automatically. Make sure the start and end dates are correct.

What columns are on the Activities table?

Date Recorded, Source, Status, Hours Total, Points Total, Category, Date Occurred, Date Confirmed, Notes and Documents.

How do event awards work?

Enable points on the Event, then set Points accrued for this event, Point category and Status required to accrue points. When a contact meets that status (for example Attended), an activity is auto-created with Source = Event, dates populated and Notes = Event name.

Where do I manage Activity sources?

Settings → System management → Accreditation. Use the Person or Organisation tab, then Add activity source (or edit an existing label).

Can accreditations apply to organisations?

Yes. Accreditations can be tracked against both people and organisations; the Action Centre and List Builder both distinguish the two.

Can I export accreditation data?

Yes. Export a record's Activities table from its profile; export the full or filtered dataset from the Accreditation Action Centre; and members can export their own history from the portal if permitted.

Where do I change whether members can add / edit / delete activities, or auto-approve?

In Umbraco, open the relevant Accreditation block → Settings and toggle the permissions and auto-approval.

Why does an accreditation show hours or points but still read "Achieved? = No"?

A category may be under its minimum, or the overarching total has not been reached. Check the Hours and Points columns to find the shortfall.
